Project Overview
This Custom ERP Solution was created to streamline complex industrial and financial operations for a high-volume enterprise. The system centralizes all core business processes — procurement, production, inventory, sales, finance, and compliance — into a unified platform capable of handling thousands of daily transactions.
Before this project, the client's operations ran on a patchwork of Excel sheets, WhatsApp messages, and a decade-old desktop accounting application that couldn't handle multi-user access. Departments duplicated data entry across three different systems, financial reconciliation took four days every month, and management decisions were based on reports that were always at least a week old.
We designed a modular ERP architecture using Spring Boot microservices for the backend, ReactJS for the responsive admin dashboard, and MySQL with read-replica scaling for handling 10,000+ transactions per day without slowdown. Each module — procurement, production, inventory, sales, finance, HR — operates independently but shares a unified data layer with real-time synchronization.
Designed for scalability and robustness, the ERP ensures accurate data flow, smooth departmental coordination, and real-time insights that enable better planning, reduced operational delays, and stronger financial control. The solution supports both web access and cloud deployment on AWS for enterprise-level reliability, with automated daily backups and disaster recovery procedures.
The Challenges
The problem we faced.
Different departments worked in isolation, leading to delays, duplicated entries, and frequent miscommunication — sales would promise delivery dates without checking production capacity, and procurement would order materials already in stock.
Purchase orders, production updates, and financial data were maintained in Excel sheets or physical registers, causing inconsistencies — a single data entry error in one sheet would cascade into incorrect invoices, wrong stock counts, and mismatched ledger entries.
Management could not monitor stock levels, pending orders, approvals, or financial positions in real time — weekly reports were manually compiled by a team of three people and were already outdated by the time they reached decision-makers.
The business needed a system capable of processing thousands of entries per day without performance issues — the old system would freeze during peak hours when more than five users logged in simultaneously.
Compliance requirements (GST filing, audit trails, vendor TDS deductions) were handled manually, creating legal risk and consuming significant accounting team hours every quarter.
There was no role-based access control — every employee could see every piece of data, from salary information to vendor pricing, creating both security and confidentiality concerns.
The Solutions

Centralized operational modules covering procurement & purchase orders with multi-level approval workflows, production tracking with Gantt-chart visibility, inventory & warehouse management with barcode scanning, sales & dispatch with auto-generated challans, and vendor & customer management with credit limit enforcement.
Automated financial processes — ledger entries are generated automatically from every transaction, payment tracking with aging reports, GST calculations with auto-filing support, vendor settlements with TDS deduction, expense management with receipt upload, and real-time profit/loss dashboards with drill-down capability.
Advanced inventory control with stock movement logs, batch/lot tracking for perishable and serialized items, multi-warehouse management with inter-warehouse transfer workflows, low-stock alerts with auto-reorder suggestions, and auto-generated MIS reports exportable to Excel and PDF.
Role-based access control (RBAC) where employees view only what they are permitted to access — finance sees financial data, warehouse staff sees stock data, management sees consolidated dashboards, ensuring full data security and audit-trail integrity.
Automated compliance module generating GST-ready invoices, quarterly TDS summaries, audit trail logs for every create/update/delete action, and exportable compliance reports that satisfy CA and auditor requirements without manual compilation.
A custom reporting engine with 40+ pre-built reports and a drag-and-drop report builder, allowing managers to create ad-hoc analyses without developer involvement — covering sales trends, production efficiency, vendor performance, and cash flow projections.
